1. Introduction

These Terms and Conditions govern all services provided by Crisp Visions LTD, a UK-based video production and photography business (referred to as “we,” “us,” or “our”). By booking our services, you (the “Client”) agree to these terms, which form a legally binding agreement. We aim to make every project a success, and these terms help us work together smoothly.

2. Services

We provide video production and photography services for sports, weddings, corporate projects, and creative endeavors. The specific scope of services, deliverables, and timelines will be outlined in a separate agreement or quote provided to you before booking. This may include:

• Filming and editing videos (e.g., wedding films, sports highlights, promotional content).

• Photography for events, portraits, or commercial purposes.

• Creative editing, drone footage (where permitted), and other bespoke services.

We’ll always strive to meet your vision while applying our professional expertise. Please note that we retain creative discretion over editing to ensure the final product meets our high standards of quality and aligns with our portfolio’s.

3. Booking and Payment

• Booking Confirmation: A booking is confirmed once you sign our agreement and pay a non-refundable deposit (typically 20–50% of the total fee, as specified in your quote). This reserves your date and time, and we won’t accept other bookings for that slot.

• Payment Terms: The remaining balance is due as outlined in your agreement (e.g., on completion, within 7–30 days of invoice, or per milestone payments). Late payments may incur a fee of 2% per month on the outstanding balance.

• Cancellations: If you cancel more than 14 days before the event, we’ll refund any payments minus the deposit. Cancellations within 14 days may require full payment, depending on the circumstances and costs incurred. If we’re unable to fulfill the booking due to unforeseen circumstances, we’ll work to find a suitable replacement or refund all payments made.

• Travel Expenses: For events over 30 miles from our base in London, travel expenses (e.g., mileage, accommodation) may apply and will be included in your quote.

4. Copyright and Usage Rights

• Ownership: Crisp Visions retains copyright ownership of all photos, videos, and other materials produced, unless otherwise agreed in writing. You’ll receive a license to use the final deliverables for personal or agreed commercial purposes (e.g., sharing your wedding film or using corporate photos for marketing).

• Client Usage: For personal projects (e.g., weddings), you may share, print, or display the work for non-commercial purposes, provided Crisp Visions is credited. For commercial projects, usage terms (e.g., duration, territory, purpose) will be specified in the agreement.

• Our Usage: We may use the produced work in our portfolio, website, or social media to showcase our services.

• Model Releases: If your project involves models, actors, or public participants, you’re responsible for securing appropriate permissions or releases for their likeness to be used, unless we agree to handle this.

5. Delivery

• Timelines: Final deliverables (e.g., edited videos, photos) will typically be provided within 4–12 weeks, depending on the project’s complexity (e.g., weddings may take 8–12 weeks, sports highlights 4–6 weeks). We’ll confirm timelines in your agreement.

• Format: Deliverables will be provided in digital format (e.g., via secure download link) unless otherwise agreed. Physical products like USBs or prints are available at an additional cost.

• Raw Footage: Raw or unedited footage is not typically provided, as it doesn’t reflect our final, polished work. If you’d like raw footage, this can be discussed and may incur an additional fee.

6. Liability

• Technical Issues: We use professional-grade equipment and take every precaution to avoid data loss or technical failure. However, in the unlikely event of loss or damage to materials (e.g., due to equipment failure), our liability is limited to a pro-rata refund based on the services completed.

• Event Circumstances: We’ll do our best to capture all requested moments, but we’re not responsible for missed shots due to factors beyond our control (e.g., late arrivals, guest interference, or weather). You agree to ensure our team has reasonable access and conditions to perform our services.

• Insurance: We carry public liability insurance to cover our services.

7. Health and Safety

We prioritize safety for everyone involved. Both Crisp Visions and you agree to comply with all relevant health and safety regulations during the project. For drone usage, we adhere to Civil Aviation Authority (CAA) guidelines and will confirm permissions where required.

8. Client Responsibilities

• Permissions: You’re responsible for obtaining any necessary permissions for filming or photography locations, especially on public or private property. We can assist with guidance if needed.

• Cooperation: Please ensure timely communication, access to venues, and cooperation from event participants to help us deliver the best results. For weddings, we ask that guest photographers or videographers don’t interfere with our work.

• Briefing: Provide a clear brief or shot list in advance to ensure we capture your vision. While we’ll incorporate reasonable suggestions, final creative decisions rest with us to maintain quality.

9. Confidentiality

We’ll keep any sensitive information you share (e.g., event details, business plans) confidential, and we ask that you respect the confidentiality of our processes and technology.

10. Governing Law

These Terms and Conditions are governed by the laws of the United Kingdom. Any disputes will be handled under UK jurisdiction.

11. Changes to Terms

We may update these Terms and Conditions from time to time to reflect changes in our practices or legal requirements. The version on our website at the time of your booking applies. You’ll be notified of any significant changes before signing an agreement.
